AI in field service management: why we chose AI by design, not a chatbot

The service report is the last task of a technician's day, and the first piece of data everything else depends on: invoicing, disputes, analytics, planning. Smart Reporting, a Field Service Management AI module included in the Nomadia Field Service Management subscription, turns it from a chore into a reflex: the technician dictates, the AI structures, the customer receives.

What is service report dictation?

Service report dictation is a voice AI capability that turns a technician's spoken account into a structured report: the transcription feeds directly into your business reference fields (equipment, action, outcome, duration) and free-text entries are normalised. Unlike plain speech recognition, the output is not raw text: it is usable data, comparable from one technician to the next, ready to go straight to the customer.

Why the service report is still the weak link in field operations

Forty minutes of typing at the end of the day, with dirty hands, in the van, or at home in the evening. Every operations director knows what follows: free-text fields dashed off in a hurry, spelling mistakes, abbreviations nobody ever deciphers, inconsistent reports that a back-office assistant rewrites one by one before they can be sent to the customer. And the gap between the job itself and the write-up invites information loss: whatever is not captured in the moment is reconstructed from memory, or gone. The field data exists; it just cannot be used.

How intelligent dictation works

  • The technician describes the job out loud on their mobile, in natural language.
  • The transcription does not land in a notepad: it populates the fields of your business data model (equipment, action, outcome, duration).
  • Free-text fields are normalised: spelling mistakes, abbreviations and telegraphic shorthand are corrected, making the data comparable from one technician to the next.

Time spent writing up a service report drops from around 12 minutes to 3. The proofread-and-correct step simply disappears.

Orders of magnitude observed across our customer base; actual gains depend on your sector and scope.

Key concept: The free-text rule

An unnormalised free-text field is lost data: unreadable for analytics, invisible to the optimisation engine, fragile in a dispute. The value of a service report is not decided at the point of entry: it is decided at normalisation.

What a normalised report changes for the back office

The report arrives structured, complete and in the right vocabulary: the back-office assistant checks and sends instead of retyping, in around 2 minutes per customer report instead of 15. The customer receives it the same day, and dispatch time stops being the variable that slips in busy weeks. Downstream, every report becomes a consistent data point feeding your analytics and planning models.

Business forms built in minutes, not tickets

A new regulatory check to roll out? The business team describes it, the AI assistant generates the form and the report template; IT keeps approval and access rights, without building the configuration itself. Allow about thirty minutes where a ticket cycle used to take several days.

Use cases by sector

Dictation adapts to the vocabulary and obligations of each trade:

  • HVAC: brands, models and part references recognised and normalised: no more "boil. VLT 242" entries nobody can consolidate.
  • Industrial maintenance: complete reports, with no field left blank, that stand up to regulatory traceability requirements.
  • Cleaning and facility management: the site visit report reaches the client the same day, in the vocabulary of the contract.
  • Healthcare and home services: the visit report is structured as the visit ends, with no more typing in the evening.
  • Loss adjusting and claims: findings dictated on site feed a standardised template the insurer can accept as is.

How to evaluate a service report dictation solution

Four questions to ask before you choose:

  • Does the transcription populate the fields of my business data model, or just a notepad?
  • Are typed free-text fields normalised too?
  • Can the business team create a new form without development work or an IT ticket?
  • Is the feature included in the licence, or billed per use?

A service report is not paperwork: it is the technical memory of your installed base and the contractual proof of your work. A base of normalised reports means fewer disputes, job durations the optimisation engine can finally trust, and a data asset that gains value with every route. And precisely because this module improves something your teams already do, it is included in the solution: no add-on, no usage-based billing.

FAQ

Does dictation work with the vocabulary of my sector?
Yes: the transcription is structured against your own business data model (your equipment, your actions, your codes), not a generic dictionary.
What happens to the poorly completed reports we already have?
Free-text fields typed on a keyboard get the same normalisation: mistakes and abbreviations are corrected so the data becomes usable.
Is Smart Reporting a paid module?
No. It is included in Nomadia Field Service Management, like everything that improves something your teams already do.
How is this different from standard speech recognition?
Speech recognition produces text; Smart Reporting produces data: sentences are routed to the right fields, corrected and normalised against your business reference fields. That is what makes the report usable downstream: invoicing, analytics, disputes.
What gains can we expect on customer report turnaround?
Because the report arrives structured and corrected, it can be sent the same day as the visit: back-office rework drops from around 15 to 2 minutes per report (estimate based on customer feedback).
How do we measure the return on investment?
Four indicators are enough: write-up time per job, share of service reports completed the same day, back-office rework time, and time to send to the customer.
